We only collect what we need to provide your wellbeing coaching, we keep it secure, and we never sell it or share it for marketing. You can ask to see, correct or delete your information at any time. The detail is below.

Who we are

Supportive Guardians Ltd ("we", "us") provides wellbeing coaching and training. We are the data controller responsible for your personal information.

The information we collect

When you book, sign in to the client portal, or complete the intake form, we may collect:

Some of this is sensitive information about your health and wellbeing. We treat it with extra care, and you only ever share what you are comfortable sharing.

How and why we use your information

We use your information to:

Our lawful bases under UK GDPR are: performing our agreement with you to deliver coaching; your explicit consent for the health and wellbeing details you share; our legitimate interest in running a safe, well managed practice; protecting someone's vital interests where there is a serious risk to safety; and meeting legal obligations where they apply. Where we rely on your consent, you can withdraw it at any time.

Keeping you safe

What you share is confidential. The main exception is where we believe there is a serious risk to your safety or someone else's. In that situation we may share relevant information with your GP, emergency services, or the appropriate safeguarding team, to help keep people safe. Wherever possible we will talk to you about this first.

Wellbeing coaching is not a clinical or emergency service, and the intake form is not monitored in real time. If you are in crisis, call 999, or Samaritans free any time on 116 123.

Who we share your information with

We do not sell your information or use it for advertising. We use a small number of trusted providers to run the service securely, who process information on our behalf under contract:

Some of these providers may process data outside the UK. Where they do, we rely on appropriate safeguards, such as standard contractual clauses, to protect your information.

How long we keep it

We keep your information for as long as you are a client and for a set period afterwards, currently up to 7 years after our last contact, after which we securely delete it. If you ask us to delete your information sooner, we will do so unless we are required to keep it for legal or safeguarding reasons.

How we protect your information

Your records are stored in a secure database with access controls, so only your practitioner can see them. Information is encrypted in transit, access is restricted, and we keep our systems up to date. We limit what we collect to what we genuinely need.

Cookies

This site uses only what is needed to work and to load our booking tool. We do not use advertising or tracking cookies. Our booking provider may set its own cookies when you open the booking window, which are covered by that provider's own privacy notice.

We may update this notice from time to time. The date at the top shows when it was last reviewed.
